Program Description

The Youth Tutoring Program (YTP) is an after-school educational enrichment program for students in 1st through 12th grade who live in six low-income and public housing communities in Seattle. Begun in 1991 as a partnership with the Seattle Housing Authority, the tutoring centers provide youth with a positive learning environment and a tutoring program to help them build academic success. We provide structured tutoring with trained volunteers. We work within the communities we serve, connecting with schools and parents toward the goal of academic success. Position Description


The development, communications, and volunteer manager (DCVM) will be responsible for communication efforts for Catholic Community Services' Youth Tutoring Program (YTP), and coordinate and support donor fund development. The DCVM will also recruit, screen and train around 300 volunteer tutors annually, and support training, recognition and retention efforts for ongoing volunteers. The position will be responsible for addressing areas such as volunteers, communication, public relations, corporate donors, individual solicitations, gift processing, recognition, and event production. The DCVM also compiles statistical information about tutor engagement, and networks with other staff who are supporting volunteer recruitment and ongoing training and recognition. The position will focus attention on developing new resources and strategies to increase and sustain donor and volunteer support for the organization, and use email, social media, and other communication tools to build enthusiasm and support for YTP. The DCVM will also develop strategy, with support from the program manager/director, on volunteer recruitment and retention, lead the planning and implementation of fundraising and appreciation events, and nurture and maintain relationships with YTP supporters. The DCVM reports directly to the Youth Tutoring Program Manager.

Responsibilities

Publications, Public Relations, and Marketing:
  • In collaboration with YTP leadership, develop and implement marketing and public relations strategies.
  • Develop and maintain donor communication strategies and timeline.
  • Coordinate and prepare newsletters, reports, and appeals as a part of the above strategies.
  • Use Constant Contact, social media communications, Adobe Creative Cloud programs, Canva, Hootsuite, and other appropriate technology tools as needed.
  • Take a major role in opportunities to expand awareness of YTP through community events, workplace giving fairs, etc. Attend community-related events proximate to the six tutoring centers to advertise volunteer and donor opportunities.
  • Train and lead other staff to support appreciation, fundraising, and marketing efforts.

Volunteer Recruitment and Management:
  • Screen, orient, place and schedule 300+ volunteers annually. Support and offer on-going trainings for over 500 volunteers annually. Develop training and orientation materials with support of program manager/director and other YTP staff.
  • Provide excellent customer service throughout volunteer process; provide timely initial contact with prospective volunteers.
  • Work with JVC AmeriCorps member to screen and process paperwork for prospective volunteers including those to serve in leadership roles. Contact and follow up with new/potential volunteers to ensure smooth introduction to program. Document process.
  • Screen and orient interns who support YTP center supervisors.
  • Recruit volunteers to support DCVM and office activities.
  • Process all YTP volunteers, including entering new volunteer information into our Tutor Database and running background and reference checks.
  • Develop effective methods to streamline the screening and placement process while maintaining overall quality.
  • Provide resources and referrals as needed.
  • Organize, coordinate and conduct volunteer orientation sessions to ensure maximum understanding of programs, policies and agency guidelines, assure confidentiality and promote safety.
  • With support of the Education Manager and Center Supervisors, provide on-going training opportunities and materials.
  • Implement annual recruitment strategy.
  • Work with staff to identify volunteer service gaps and develop targeted recruitment strategy responses to meet recruitment goals established for each year.
  • Develop and implement an ongoing marketing and outreach strategy to increase the public awareness of these volunteer opportunities.
  • Produce and distribute flyers, introductory letters and other needed solicitation materials.
  • Collaborate with city-wide organizations to organize and promote tutor training opportunities.
  • Collaborate with other YTP staff to evaluate volunteer satisfaction.
  • Disseminate information to volunteers through email, phone calls and mailings.

Donor Research, Cultivation, and Solicitation:
  • Work with YTP and CCS leadership to develop and implement an annual fundraising plan including taking a lead in securing $75,000 in individual contributions from solicitations and events and supporting the Program Manager in securing foundation and corporate contributions (including corporate matches). Develop steps to increase these totals during each fiscal year.
  • With the support of staff, plan a large annual fundraiser banquet (raising at least $50,000) and one smaller email/Facebook-based fundraising event.
  • Research and make connections with prospective major donors as well as corporate and foundation funders.
  • Cultivate medium-level donors, including building relationships, making solicitations, and securing donations.
  • Create high-quality appeals, event invitations, and other online and print communications. Explore and execute new opportunities to engage donors and volunteers more deeply through communications.
  • Organize and lead the YTP Fund Development Committee
  • With support from the CCS Fund Development office, maintain the donor database (Raiser's Edge), generate progress reports on various fund development initiatives, and participate in the analysis of results.

Record Keeping and Reporting:
  • Collect, input and update volunteer data.
  • Tabulate data and assist program leadership in monthly, quarterly and annual reports and data for applications.
  • Maintain accurate volunteer and client records.
  • Update electronic records and hard files monthly.
  • Prepare and maintain procedural and training materials, written protocols and forms as needed.
  • Create and or update volunteer manuals and information

Donor and Volunteer Appreciation:
  • Develop and manage acknowledgment of donors.
  • Develop and implement timely and meaningful engagement and recognition events and activities to increase donor satisfaction.
  • Evaluate donor activities and appreciation events to reduce turnover

Additional Responsibilities:
  • Serve as a member of the rotating "Substitute Center Supervisor" pool once a week, managing tutoring center operations at any of the six YTP tutoring centers when a Center Supervisor is unable to provide coverage.
  • Assist with the identification of grant opportunities, and participate in small appeal preparation (as time is available).
  • Perform additional duties as assigned.


Qualifications

Minmum Qualifiations
  • Bachelor's Degree with at least two years of social service, educational enrichment volunteer coordination, fund development, and/or communications experience (candidates with extensive additional experience without a degree will also be considered).
  • Success in coordination, supervision and training of volunteers or other staff;
  • Demonstrated strong initiative and ability to work independently.
  • Demonstrated ability to manage and prioritize multiple tasks, projects and deadlines in a fast-paced team.
  • Proven excellence in written and verbal communication.
  • Knowledge and ability to use MS Word, Excel, Outlook, Adobe Creative Cloud, Canva, and social media sites for communication, reporting, and research. Ability to learn new computer skills quickly, such as the use of Constant Contact, Raiser's Edge, and database management systems, and desktop publishing.
  • Demonstrated fund development success with a track record of achieving revenue targets
  • Demonstrated ability to prospect, cultivate and secure new donors and volunteers through a variety of avenues (cold calls, presentations, sound research, etc.).
  • Experience with event planning.
  • Demonstrated ability to gather, understand and use data to support program goals and development.
  • Demonstrated success in planning, organization, time management, and problem-solving.
  • Demonstrated attitude, knowledge and skills to deliver culturally competent services and work to advance racial equity.
  • Interest in and commitment to educational and personal success for vulnerable youth.
  • Willingness to learn and work well within a team environment.
  • Ability to work an average of one evening per week until 8 PM for substitute duties, tutoring center visitation, fund development committee meetings, or other tasks that may arise.
  • Washington state driver's license and vehicle.
  • Support and uphold the mission, beliefs, and values of Catholic Community Services and Catholic Housing Services and a knowledge of and commitment to working within the Social Teaching of the Catholic Church.
  • Criminal history background checks are required before employment.
  • CPR and First Aid Certification - within 30 days of hire.

Preferred Qualifications
  • Knowledge of community resources.
  • Significant understanding of the refugee/immigrant experience.
  • Established contacts within local and/or national corporations, foundations, or media communities.
  • Proficiency with computer applications for donor and volunteer management, such as MS Access, Raiser's Edge, and other databases. Experience working in programs focused on youth development, especially with low-income or refugee/immigrant youth.
